The seven billing questions your support team answers every day, answered in seconds

When do I renew?", "why did my payment fail?", "was I charged twice?" Every subscription business hears the same handful of questions. Here is how to answer each one quickly and correctly.

If you run a subscription business, your support inbox has a pattern. Different customers, same seven questions. Each one is simple, but answering it means finding the right account and reading the right part of it, and that takes longer than it should when you're juggling a billing system, a help desk and a queue.

Here are the seven, what the agent actually needs to see, and how to get it in one step.

1. "When does my subscription renew, and how much will it be?"

What to check: the subscription's next renewal date and the amount.

"Find sam@example.com and show me their subscription, next renewal date and amount."

2. "Why did my payment fail?"

What to check: the declined charge and its reason. "Insufficient funds" means try again later; "card number declined" or "expired card" means they need to update their card. (Our guide to Recurly decline codes explains each one.)

"Show me Sam's last five charges, including declines and why they were declined."

3. "I was charged twice!"

What to check: charges on the same day for the same amount. Sometimes it's a genuine duplicate; often it's two subscriptions, or a charge and an authorisation hold that will drop off.

"Did Sam get charged twice this month? Show me charges from the last 30 days."

4. "Please cancel my subscription."

What to check: which subscription, whether to cancel now or at the end of the paid term, and whether a refund is due.

"Cancel Sam's subscription at the end of the term. Reason: didn't use it enough."

With Retrixus, the change is shown first and happens on a yes, within your rules.

5. "Can I get a refund?"

What to check: the charge, how old it is, and whether it's within what the agent may refund.

"Refund Sam's charge from the 3rd. It was a duplicate."

Over the agent's limit, it goes to a manager to approve rather than being refused.

6. "Did my refund go through?"

What to check: the refund transaction and its status. Refunds can be declined by the card issuer too.

"Has Sam's refund from Tuesday gone through?"

7. "Do I have another account with you?"

What to check: every brand or product you run, by email. Customers sign up more than once more often than you'd think.

"Find every account for sam@example.com, on every brand."

The pattern behind all seven

Every one of these is a lookup of one customer, which Retrixus does live from Recurly for any customer, however long they've been with you. On the free plan your team can do the lookups in Claude or ChatGPT; with Business, agents can also refund and cancel within limits, and phone agents get the Agent Console, a single screen for the call.

If you use Zendesk, the same question can pull in the customer's tickets alongside their billing.
